LIBRARY 2.017 - WIZIQ TRAINING
ONGOING FAQ
- We're using a new, not-yet-released version of WizIQ that is terrific. But there are some limitations, as with all live, online environments. WizIQ is pretty intuitive, but it's also brand new to us as well so please poke around in the training sessions and let us know what's important to communicate.
- PRESENTERS:
- Your Session Room.
- Each presenter will be given a link before the event to an exclusive session room for your actual presentation.
- Timing of your presentation session(s) is listed on the schedule page for your time zone. Please double check to make sure you know when you are going to present. You should plan on entering your session room 30 - 60 minutes in advance of your session to check your microphone and sound, and make sure you have time to prepare your room and your slides.
- While you will be able to go in and out of your virtual room, and you can log in and out of the WizIQ account we give you, if you receive any message that says you are "ENDING THE SESSION" do not do that and just close the browser window. "Ending the session" will require getting you a new room (and public links) and that would be complicated and hard to do.
- Only one person can log in at a time with full presenter permissions into a live session room. If you have co-presenters, they will need to log in using the public session link and then you can give them audio / video / content permissions. You do this by clicking on the "people" icon toward the top right.
- When you arrive in your session room, there should be a volunteer moderator waiting for you or arriving soon thereafter. They will contact you in the chat. Please give them moderator permissions by clickin on the people icon on the top right and then clicking on the video and audio icons.
-
Actual Log-in Steps (please follow carefully):
- We are finding that the Chrome browser seems to work best.
- Click on your session room URL that we send you;
- When the page comes up with "Library 2.0 / Makerspaces" - do not click launch. Instead, look for the menu item to "Login or Sign Up." Use the login email id and password given.
- The page will be blank. Look for the three-line menu at the top left, then click on "live classes." Then click the Launch button.
- You will then be in your session room. It takes a minute or so to load the room and for the audio to kick on.
- When you leave your virtual room, then want to return, be sure to click the left-menu to show "live classes" again. You can also see if you are logged in (and how) when the left side-bar opens.
- Recording. When you arrive in your session room, IT WILL START AUTOMATICALLY RECORDING. You need to PAUSE THE RECORDING while you prepare for your session. Then, you will need to remember to start your recording when you start presenting.
- Sharing Your Slides. Your slides can be in .ppt, .pptx, or .pdf format. (Apple Keynote files are not supported.) PDF formatting works best. WizIQ strips out any animations or videos when you upload your slide deck. To upload your slides, look for the "NEW" menu link at the top left of the sharing area, click on it, then click on "Content" and select the file to load. Once the file loads and goes through the conversion process, the users will not see the slides until you click on the PREVIEW icon at the bottom of the sharing area. At the bottom of the content screen, you should see the word "preview" and a share icon (sideways triangle with large dots). Click on the share icon and your content should be available to your attendees. You will notice that you can have more than one set of slide decks available to show, and that as you (and any co-presentes you have given writing permissions to) switch between them the display will change for the audience as well.
- Conference Opening Slides. We have sent you conference opening slides. Please go through them before you start your actual presentation.
- Screen Sharing. If you need to share your desktop with the audience, you can use the screen-sharing button toward the top right of your screen. Sharing your desktop does require downloading a browser extension, which you should automatically be prompted to do when initiating sharing for the first time.
- Showing Video. You can show video by providing a YouTube link after clicking "NEW" > "YouTube," or you can upload media into the system.
- Changing Layout. Only the presenter, with full permissions, can change the layout. Look for the layout button on the top right of the your screen to scroll through and see the different layouts available. Ater the first screen, that layout button moves to the left side.
- Mobile Access: There is currently not mobile-device access to the platform.
- Giving Attendees Permissions: When you are logged in and attendees come in, if want someone to be able to use audio or video, you'll need to enable their audio and video capability. Look for the "people" icon at the top right and then click on the audio and video buttons.
- Whiteboard Tool. The whiteboard tool is pretty self-explanatory, although what might normall be called the "select" tool and represented by a cursor arrow is called "transform" and looks like a typical "cropping" icon.
- Polling. You can create and save polls in WizIQ. You can ask a poll question and display the responses.
- Q&A. We find that Q&A is best done by letting members ask questions in the chat. You can give audio/video permissions to individual members if you like. If someone raises their virtual hand, you'll see an indicator at the top right of your screen (the bell icon)--you can click on that, then click on their name to see if they have posted an actual question. Only you as presenter can see the indicator and questions.
- Finishing Up. When you are done with your presentation, and you want the recording to process, and ONLY at this final stage, click on the "timer" icon at the top of the screen (circle with half-shade), then click on "end this session."
- Issues? We are finding that almost all issues (audio/video) are resolved by refreshing the browswer, or logging out and logging back in again.
- Your Session Room.
- VOLUNTEERS:
- Please come to http://www.thevolunteerlounge.me for chat and instructions.
- Can you log into the volunteer room and one or more classes at a time? No, unfortunately, a user will have to be on more than one computer system to do this. We are going to have to find a workaround for the volunteers and volunteer leaders--perhaps a Zoom or Google Hangout session. One workaround is for the volunteer to open their Chrome browser in icognito mode and log into either the volunteer room or one of the sessions, but knowing that the microphone and webcam will have been locked by the original room and not available--meaning, only chat dialog will be.
- ATTENDEES:
- Room size limitations: WizIQ rooms currently only can hold 300. While this is not likely a problem for the breakout sessions, if if a breakout session does have more than 300, users will need to wait to watch the recording.
- For the pre-conference and keynote sessions, we will use some form of Google Hangout / YouTube streaming to make the session avaialble for all who want to watch live. Those watching that way will be on a separate chat platform.
- Mobile Access: There is currently not mobile-device access to the platform.

QUESTION: "Thanks for these detailed instructions! I am afraid I have a question. I followed your directions and was able to access my virtual room. I then closed the window of the room and the tab for the event. The next time I wanted to go into it again, I clicked on the link to my virtual room (it didn’t give me the option to sign in, so I guess I was still signed in), and then “Live Classes” from the drop down menu in the upper left corner. But then, I only got the response that there are “no live classes available for listing,” instead of the window for my virtual room immediately opening. Now I’m not sure what to do – I hope it didn’t mess it up! Any guidance you could offer would be greatly appreciated. Thanks!" ANSWER: "Look in that same sidebar, down at the bottom, and make sure you're still logged in... let me know." FINAL: "Ahhh, got it! Thanks, it’s working for me!"

IF YOU ACCIDENTALLY LOG INTO YOUR ROOM AS AN ATTENDEE: If you accidentally log into your room as an attendee, not using the login information above, you may be confused trying to enter the room correctly. First, exit the room. Then click on your virtual room link again, and look for the menu (three horizontal bars), click on it, and at the bottom of the left side-bar you should see your current login and have the ability to log out. Once you do so, then log in again with the email ID and password above. Then go back to the three-bar menu and choose "live classes" and you should be able to launch correctly.
